School Operation Officer

Job Description

This is a full-time role and NOT suitable for current students. 

The post-holder is a key member of the professional services team within the School of Biological and Behavioural Sciences with responsibility for providing effective and efficient support for examinations administration conveying a helpful, positive image to all those who deal with or work within the School. 

This role will have responsibility for overseeing the administration of all activities relating to assessment and examinations within the School of Biological and Behavioural Sciences. The Quality Officer will be expected to work closely with the Education Services Manager and the Subject Exam Board (SEB) Chairs to ensure the smooth running of examination and assessment processes within the School, continuously reviewing practices to ensure efficient and effective management of the administration of these processes. In particular they will be responsible for developing, maintaining and monitoring systems within the School for the scrutiny of examination papers (including reviewing and editing papers to ensure they meet the required standards) and ensuring that central deadlines are met.

  • Significant experience of working within Higher Education
  • Significant experience demonstrating development and acquisition of knowledge through a series of progressively more demanding relevant work roles.
  • Excellent attention to detail, with an ability to edit documentation and spot errors.
  • An organised and methodical approach, with an ability to monitor processes and flag issues as they arise.
     

Skills

  • Excellent oral and written communication skills.
  • Excellent IT skills including Microsoft Office software (including Excel skills, Word, Outlook), and an ability to learn new software quickly.
  • Ability to plan and prioritise own workload to meet deadlines, and also to influence others to meet deadlines.
  • Proven ability to use own initiative to review processes and procedures and develop innovative systems/solutions to enable efficient and effective management.

Main purpose of the job: 

 

To provide support to the examination process. 

 

Main Duties: 

 

To support the Head Invigilator/ Examination Team with the day-to-day operation of examination venues. This may include (but not limited to): 

 

assisting with setting up examination venues by laying out stationery, equipment and examination papers in accordance with the outlined procedures; 

assisting candidates prior to the start of examination by directing them to their seats and advising them about possessions permitted in examination venues;  

offering advice and guidance to unregistered candidates without allocated seats; 

ensuring that candidates do not talk once inside the examination venue; 

invigilating during examinations, dealing with queries raised by candidates and dealing with examination irregularities in accordance with strict procedures; 

checking attendance during examinations; 

recording details for early leavers and collect their scripts; 

escorting candidates from the examination venue during the examinations as required, and supervising candidates whilst outside the examination venue; 

collecting and collating scripts at the end of the examination in accordance with strict procedures; 

assisting with the preparation of script envelopes; 

supervising candidates leaving the examination venues, ensuring that candidates do not remove equipment or stationery from the venue without authorisation and ensuring that candidates leave in an orderly and quiet manner;

This is a full-time 5-month secondment role available from (ideally) May to September reporting to the Director of Operations in the Kings Digital team.  Part-time applications are welcome. 

As a Principal Analyst in a new area, you will initiate and lead on shaping multiple high-impact activities with a large degree of autonomy and self-direction. This will involve working directly with senior stakeholders across the university and commercial partners, so that you can:

To deliver on this, you will collaborate with Strategy, Planning and Analytics, and a wider network of colleagues, using a range of techniques and tools across a variety of data sources to drive improvements in internal reporting on online programmes at Kings.

  • Able to use one or more data analytics tools to an advanced standard, for example Power BI, Tableau, Alteryx, SQL, R, M, Python, Power Automate, Excel, VBA 
  • Highly developed analytical skills, with extensive knowledge of the means through which insight can be derived from data, and ability to deploy a range of techniques to evaluate, model and interpret data 
  • Able to effectively present data from a range of sources to an advanced level, producing user-friendly outputs which give information in context 
  • Excellent written and verbal communication skills, with the ability to communicate the outcome of analysis by delivering presentations and technical reports to a wide audience, including non-specialists 
  • Experience of working with a range of senior stakeholders to build levels of engagement and using data analytics effectively to influence outcomes 
  • A motivated self-starter, with experience of managing multiple and complex projects simultaneously and delivering on time, while maintaining excellent attention to detail, accuracy, and completeness

As the role holder, you will: 

  • Deliver insights by extracting, transforming, and combining data from multiple sources to create innovative, user-friendly, and engaging outputs using a range of software, including Power BI, SQL, and Power Automate 
  • Lead the creation and maintenance of data assets to address data quality issues 
  • Support internal stakeholders, including colleagues in Faculties, to understand their distance learning online programmes needs as asset users and data owners, identifying and delivering training and development required to drive continuous improvements  
  • Collaborate closely with commercial partners to identify requirements, process enhancements, and emerging data issues with new applicant and conversion pipelines 
  • Be confident in delivering challenging messages and critical analysis which cuts across conventional thinking and pre-conceived ideas 
  • Continually develop technical expertise and skills in relation to new and existing techniques, tools, and software
