OSCE Invigilation

Tuesday 22nd July 2025 & Wednesday 23nd July 2025 Guys Campus

Applicants must NOT be part of the MBBS course at King's College London or the Faculty of Life Sciences and Medicine.

You will be invigilating for OSCE Exams for the Medical Students. OSCEs (Objective Structured Clinical Exams) are split into different circuits made up of 6 stations. Each station has a different scenario, which lasts 8 minutes. Students will be examined on their performance of each station.

Once they complete a station, they will move on to the next station, which is in numerical order. The exam runs as a loop, so if there are 6 stations, the student will go back to station 1 after finishing station 6. The exam finishes when they have completed all the stations of the circuit.

After the students have completed the circuit, they return to the student holding rooms whilst the supporting staff (incl. invigilators) prepare the stations & circuits for the next group of students as well as collate the examiner feedback sheets for them to be returned to the students before they are dismissed.

Key responsibilities   

  • To support the Lead Invigilator in carrying out their duties by attending briefing sessions prior to and following exam sessions as required.  
  • To assist with setting up the circuit(s): putting out clipboards, sharp pencils, and rubbers inside each station. 
  • Assist with the set-up of equipment (training will be given for the setting up of props or the resetting of station equipment). 
  • To assist students before the exam begins, ensuring that all students are correctly located and ready for the exam.   
  • To invigilate the examination circuits and guide students between stations during the exam.  
  • Direct examiners, patients, simulated patients to the correct stations. 
  • Be the first response for examiner questions or concerns, raising issues with the lead invigilator or senior examiner quickly and efficiently. 
  • To vigilantly monitor the room/allocated area throughout the exam in session whilst not disrupting the candidates; and ensuring a calm environment conducive to supporting students to be successful in their exams.  
  • To ensure that noise levels on the examination circuit are kept to a minimum and that examination conditions are maintained throughout 
  • To promptly report any incidents that may impact a candidate's performance to the Lead Invigilator, Circuit Lead (Marshall), OSCE Site Lead, or Senior Examiner. 
  • To ensure that, at the end of the exam, all iPads and materials are collected and returned to the relevant place according to set procedures as advised by the Lead Invigilator.

About the Role 

King's Careers & Employability is recruiting a cohort of approximately 15 Careers Ambassadors (CAs) to play a central role in championing careers support across the King's community. This is a paid, part-time role with flexible hours on an ad hoc basis, designed to fit around your academic commitments. It offers a valuable opportunity to develop a range of transferable skills in a dynamic and student-focused environment. 

As a Careers Ambassador, you will contribute across multiple KC&E workstreams including event support, marketing and communications, student engagement, feedback collection, and service development. You may also be responsible for responding to student queries via our central inbox and acting as a key representative of the service across campus spaces and student groups. 

This is a varied and multifaceted role, and we welcome applications from students with a broad interest in careers and employability. While all ambassadors will gain experience across different areas, we anticipate selecting two ambassadors to take on a more focused role within Student Enquiries. These students will receive additional training and work more closely with the Student Careers Engagement team to deliver this key front-line function. 

 

Key Responsibilities 

Student Representation & Engagement 

Act as a visible and approachable representative of KC&E, engaging with peers across campus spaces and events (e.g. libraries, SU spaces, career lounges). 

Promote careers support to students through in-person outreach and peer-to-peer conversations. 

Provide feedback on KC&E services and initiatives, highlighting student needs and perspectives, especially those from underrepresented groups. 

 

Marketing & Communications 

Develop and deliver engaging content to promote KC&E services and events, including short-form video (e.g. Reels or TikToks) that reflects the authentic student voice. 

Suggest creative ideas for campaigns and contribute to planning and scheduling content across KC&E digital platforms, ensuring alignment with brand and messaging. 

Capture media on campus and at events, including filming short interviews with other students or behind-the-scenes content, such as short vlogs, for use across our channels. 

 

Event Support 

Support the delivery of career fairs and events, including setup, meet and greet, registration, and attendee engagement. 

Assist with the coordination of pop-up events and other initiatives aimed at increasing student engagement. 

 

Insight & Feedback 

Gather and summarise student feedback to inform KC&E?s strategy and service delivery. 

Attend and facilitate focus groups to represent diverse student views and contribute to service improvement. 

Participate in user testing or feedback sessions to help shape new KC&E initiatives and tools. 

 

Student Enquiries 

Act as a first point of contact for student and visitor queries about careers support. 

Monitor and respond to emails in the KC&E Careers Inbox, providing accurate information or referring to relevant teams as needed. 

Assist students navigating our Career Management System (e.g., booking appointments, accessing resources, troubleshooting issues). 

Support with basic administrative tasks related to student records, appointment management, or careers communications. 

 

Note: Two Careers Ambassadors will be selected specifically to support the Student Enquiries function. These ambassadors will: 

Receive dedicated training 

Be expected to work a minimum of 7 hours per week on a regular schedule during term time 

 

Whilst all ambassadors will receive general training and exposure to the enquiries process, only those in the enquiries-specific roles will be assigned regular front-line responsibilities. All other ambassadors will support a variety of KC&E activities on an ad hoc basis, with flexible hours arranged according to project and event needs

We are looking for candidates with demonstrable experience in a Personal Assistant role (preferably in HEI), delivering excellence in the provision of support services at Director level. This is a full time position (35 hours per week) for an initial 3 month duration. The position will be based at Charterhouse Square and will be paying ?23.93 per hour plus holiday pay.  

 

The role holder works with the Institute Manager, Senior management, and other team members to provide overall executive support to the Director, and to support the overall effectiveness of the wider executive team.

The role holder will use their professional expertise and independent judgement to deliver an effective and efficient service to meet the requirements of staff, student and external stakeholders at the most senior levels, frequently liaising with high-profile external partners and being trusted with the most sensitive information.

The role holder is responsible for providing high-quality executive assistant support to the Director, the Director?s Office and the BCI Executive Board and will act with integrity, ensuring that professional and quality service standards are consistently maintained and applied within the role.

This is a busy role in a demanding, fast-paced environment, and the post holder will be expected to exercise sound judgement and utilise their independent judgement, acting with complete discretion at all times.

 

Main duties and responsibilities

Duties relating to the direct support of the Director;

?Provide effective and efficient executive assistance to the Director

?Act as a first point of contact for all communication and personal contacts for the Director

?Manage and maintain a complex appointment system and electronic diary for the Director , using independent judgement when necessary to prioritise work schedules in accordance with changing priorities, liaising and negotiating with all relevant parties in an efficient and effective way.

?Prepare comprehensive day-files, including briefing notes and other relevant materials which the role holder drafts, sources or commissions as appropriate;

?Assemble and analyse data and prepare reports, communications, presentations and other documents, as required;

?Use judgement and initiative to manage correspondence and enquiries, responding to routine matters where appropriate while keeping the Director appropriately briefed, involving others in drafting responses to more complex matters, and working with other team members to ensure that incoming correspondence and enquiries are monitored appropriately throughout the week;

?Co-ordinate travel, hospitality and room bookings, including the project management of detailed itineraries for international trips and visitors to the University;

?Support when needed financial administration in compliance with the University?s financial regulations and be responsible for the management of the purchasing card, ensuring monthly reports and documentation are retained and returns are dealt with in accordance with deadlines;

?Work with Institute management to support meetings, including:

  • compiling, confirming and circulating agendas and papers;
  • writing, confirming and circulating minutes;
  • monitoring and reporting on actions.

 

Duties supporting the effective running of the Director?s Office;

?Work with the Institute Management and the Director?s Office team to ensure that everyone who comes into contact with the Director?s Office experiences a professional and welcoming service;

?Build and maintain effective networks across the University and liaising with key external contacts;

?Work flexibly with other team members to provide occasional support off-campus and outside regular working hours when required; collaborating with other team members to ensure the highest standards of operation in a busy environment, ensure that the Office is adequately staffed and that the senior team are supported

?Maintain office systems, both electronic and manual, which integrate seamlessly with the rest of the Director?s Office, including maintaining an up-to-date electronic filing system of all correspondence;

?Assist with special events as required (for example, Inaugural lectures, Distinguished Guest Lecturers, Research Showcases, Receptions for external guests, academic retreats, CRUK Engagement events);

Comply with all H&S policies and procedures and to ensure that all activities are undertaken in a safe manner.

Experience in the organisation and servicing complex meetings, including the preparation of papers, taking and transcribing minutes.
Experience handling difficult situations with tact and sensitivity and maintaining confidentiality at all times.
Experience organising complex itineraries and associated tickets/documentation for travel in the UK and internationally.
Experience developing and maintaining effective relationships with staff at all levels and working in a matrix structure with direction being provided by multiple colleagues.
Skills/Abilities
Sound judgement in problem solving with the confidence to decide on the appropriate action, recognising when and how an issue should be escalated.
