Personal Assistant

 

Job Description


  • Provide high quality assistance to the Deputy Vice President, Global Business Development in respect of diary and correspondence management, providing briefing documents and background materials, and supporting the prioritisation of management and academic commitments.

  • Organise and support meetings, workshops, roundtables, and visits by external/international delegations, including contacting speakers and attendees, arranging logistics and catering, preparing the agenda, writing the minutes and coordinating follow-up action as required.

  • Deal efficiently with communications and correspondence, drafting and distributing communications on behalf of the Deputy Vice President, Global Business Development.

  • Support local purchasing and expenses and assist with the monitoring of budgets and expenditure.



The above list of responsibilities may not be exhaustive, and the post holder will be required to undertake such tasks and responsibilities as may reasonably be expected within the scope and grading of the post.

Educated to degree level or relevant experience

  1. Previous experience in a Personal Assistant or proactive supporting role

  2. Experience of complex diary management

  3. Experience of organizing and supporting high-level senior meetings

  4. Experience of report and presentation writing

  5. Experience of working independently and proactively

  6. Committed to equality, diversity and inclusion, actively addressing areas of potential

The invigilator is responsible for maintaining discipline and good order during the oral exam preparation.



They are required to ensure that bags etc are deposited alongside a wall, or at another place far away enough for students to take out any potential aid. Furthermore, they will need to ensure that candidates do not bring to the desk any notes, books or any other aid, except a pen to take notes. The invigilator also ensures that electronic devices are put away and that mobile phones are only used to check the time. Ten minutes before the end of the assessment, the invigilator should announce the time remaining to the candidates and at the end of the preparation time, the invigilator should instruct candidates to cease writing and go to the exam room.



The invigilator reports to the Language Director who will be in touch before the exam date.
