We are seeking to appoint a School Administrative Assistant to join the School of Arts and Creative Industries Administrative Team. We are a small team that provides and supports (in collaboration with central Professional Service Functions) the academic delivery of the School.
The post holder will provide a high standard of administrative and clerical support to the Senior Management Team in relation to day-to-day management activities and bespoke School initiatives. The post holder will need to have experience of completing tasks to a high standard, in order to meet the needs of stakeholders.
Successful candidates will have excellent organisational and administrative skills; be able to work collaboratively with other team members and staff across the University; and be able to demonstrate a commitment to providing exceptional service.
You will be expected to work on campus unless otherwise stated by the School. The school will also require you to work some Saturdays for Open Days or other activities.
Grade 4 spinal point 13 (£26,865 including LW) Fixed term full time to start as soon as possible for 6 months with the intention to extend.
Purposes of the post
To provide a high standard of administrative and clerical support to Director of Operations and Senior Administrator (DoO and SA) and Director of Research and Enterprise, to support research and enterprise events and activities.
The post holder will be an operational point of contact with the professional service groups of the University (i.e. procurement, student administration, marketing, events and diary management etc).
To assist the lead on operational aspects of processes such as Marketing, Student Attendance Monitoring, and Research and Enterprise.
Main activities and responsibilities
1. Undertake duties of and provide absence cover for the School Administration Team as and when required, to ensure continuous support is provided.
2. Provide administration and clerical assistance in the day to day running of the School, in liaison with central service departments.
3. In liaison with parent PSGs provide support for the arrangement and management of marketing and promotional and other school events.
4. Assist the senior team with the organisation of diaries / calendars / work schedules, typing of correspondence, taking messages, notes and minutes, arranging meetings.
5. To deal with written and oral queries from staff, other university departments and external contacts in a professional, sensitive, confidential and effective manner, re-directing queries where appropriate.
6. Assist in the preparation, collection, collation and dissemination of information as requested by the DoO and SA.
7. To ensure that procedures for access to, and retention of, information within the School comply with the requirements of the University and the Data Protection Act.
8. In liaison with the Director of Research and Enterprise, and Heads of Research Centres, provide support for the research and enterprise events and activities, as well as research and enterprise reports and deliverables.
9. Undertake other reasonable duties as agreed by the DoO and SA and commensurate with the level of the role, which may be necessary, from time to time, to meet the requirements of the School.
The line manager may request additional duties that are within the scope, spirit and purpose of the role. Within reason, the duties and role of the postholder may be changed, after appropriate consultation, in response to changing organisational requirements. It is expected that the postholder will not take annual leave during key points in the academic calendar.
QualificationsA degree (D) and/or practical administrative experience (E) and knowledge of typical procedures in an office environment (D) preferably within the Education sector (D).
