Job Description

Job purpose

To main focus of the post holder is dedicated to effectively provide confidential, professional administrative support to the Head of Housing Services and to the Housing Services team. To effectively provide a customer focused reception service of excellence for Housing Services. To be the first point of contact for, and to represent the team, both internally and externally, whether in person, by telephone or by email, responding to all generic enquiries or by referral to an appropriate team member when escalating non-routine enquiries.

The post holder will be required to support the Head of Housing Services in delivering a customer focused service of excellence; providing advice and guidance encompassing the broad range of housing options available to students and staff.  The range of this role is not limited to the Queen Mary halls of residence, but includes nominated private providers, private housing as well as homestay or short stay options.

 

Main duties and responsibilities

  • To provide a customer focused first point of contact to students, staff and private landlords, the public and other external bodies, judging when to pass on or escalate complex queries.
  • To check all applications received for housing eligibility, and issue relevant and timely feedback to applicants.
  • To represent Housing Services at all Queen Mary internal and external events, particularly at main residential arrival and departure days, to provide and sustain a positive image for Residential Services
  • To manage and keep updated the Housing Services team diaries.
  • To check the accuracy and relevance of information and imagery on the Residential Services website..
  • To provide administrative support to the Housing Services team.
  • To advise the Head of Housing Services on noticeable trends in customer enquiries.
  • To be flexible at key times within the university calendar to support the delivery of services that will be outside normal business hours, which will include working in the evenings and at weekends
  • To comply with all Queen Mary and Directorate policies and procedures and demonstrate a commitment to the Directorate purpose statement and values
  • To implement recognised good practice in communication and cohesion, to promote the culture and behavioural change programme that has been embarked upon by the Directorate.


Qualifications

GCSE, NVQ (Level 3) or City and Guilds in English and Maths or equivalent



Skills
  • Significant experience working within an HEI or privately built student residential environment
  • Significant experience working in a customer service environment providing exceptional customer service
  • Understanding of the relevant regulations and national codes of practice and the implications of non-compliance
  • Experience managing conflicts, resolving or escalating complaints, with the ability to use own initiative to handle difficult situations with tact and sensitivity
  • Familiarity with budgeting and financial management
  • Knowledge and understanding of HEI Admissions systems, key dates and SITS student record system
  • Knowledge of the private sector housing market

Skills/Abilities

  • Excellent written and verbal communication and interpersonal skills with the ability to communicate effectively with staff and external contacts at all levels
  • Computer literate with a good knowledge of Microsoft Office software, particularly Excel
  • Able to plan, manage and monitor a variety of commitments, balancing workloads to meet service demands
  • Excellent attention to detail and a systematic approach to work
  • Friendly, approachable, diplomatic and able to relate to people
  • Flexible attitude and willing to learn, develop and improve both individually or as part of a team

Purpose of the post

The School of The Built Environment and Architecture (BEA) offers some of London?sbest

courses in areas such as architecture, building services engineering, civil engineering, construction management, quantitysurveying and buildingsurveying. All our courses are closely linked with industry and accredited by the relevant professional institutions to the highest possible level.

 

Our apprenticeship offer is rapidlyexpanding and we are seeking passionate and driven Skills Reviewers who are committed to working with our academics and industry partners to develop the best Higher and Degree Apprenticeships in the sector. This particular post will sit within the division of Civil and Building Services.

 

The postholder will provide guidance and support to apprentices to work towards developing the knowledge, skills and behaviours they will need to successfully complete their apprenticeship, and will liaise with employers to ensure the apprentice?s learning needs are being met in the workplace.Progress review meetingswith each apprentice and their employer will be undertaken at least three times a year for the duration of their programme, either in person at the apprentice?s workplace, or remotely via MS Teams.

 

The successful candidate will be an excellent communicator and developing good relationships with internal and external stakeholders. Industry experience would be an advantage. They will be comfortable working independently and will have excellent organisational and time management skills.

MAIN ACTIVITIES AND RESPONSIBILITIES

 

  1. Work alongside both the Apprenticeship Team and School academics to provide proactive and reactivevocational and educational support to apprentices and their line managers throughout the apprenticeship scheme.

 

  1. Monitor apprentice progression against knowledge, skills and behaviour standards (as well as functional skills where appropriate) and provide feedbackto both the apprentice and their line manager.

 

  1. Undertake regular progress review meetings with apprentices and mentors as required. These meetingswill either take place at the apprentice?s workplace; the University; or via MS Teams.

 

  1. Support the apprentice to prepare for theirend-point assessment.


 

  1. Work with employersand academic colleagues to support the agreement of on and off the job development plans with the apprentices and monitor and record progress to ensure that both the university and employer remain compliant.

 

  1. Work with the Apprenticeship Team and Teaching, Quality and Enhancement to ensure all qualityassurance requirements relevantto the educational support of an apprentice are being met.

 

  1. Ensure that all learning activity is recorded and auditable in line with funding regulations and that any university delivery, process and monitoring systemsare adhered to within the agreed time limits.

 

  1. Contribute to the development of appropriate programme systems and processes.

 

  1. Complete any requiredlearning and development activities required to enhance your knowledge and perform the role more effectively.

 

  1. Ensure that procedures for access to, and retention of, information withinthe School comply with the requirements of the University and the General Data Protection Regulation.

 

The Apprenticeship Team Leader / Dean may requestadditional duties that are withinthe scope, spirit and purpose of the role. Within reason, the duties and role of the post holder may be changed, after appropriate consultation, in response to changing organisational requirements.

The casual health & fitness coach role is important in helping King’s Sport & Wellness deliver its range of services to all members across our 3 main gym sites. You will work closely with the full-time health and fitness coaches and the gym operations supervisors to ensure that members are given a world class experience. The role is a zero hour contract and shifts are allocated subject to need. There are always shifts at the weekend, and to cover the full time teams annual leave, and duties off site. 



 



Qualifications

Essential Qualifications: 





  1. Level two fitness coach qualification or equivalent 







  1. A good level of education (A-level) or equivalent 







  1. Suitable experience and knowledge of working in a similar/related role

  • To deliver a range of fitness classes, inductions and programs that ensures our members are engaged and educated in fitness and their physical wellbeing  




  • To monitor and coach gym members to ensure their safety and the use of correct techniques when exercising therefore providing quality member experiences  




  • To support the gym team to continually maintain and exceed operational performance of the gyms. 




  • To assist in the operational systems and processes of managing health and fitness memberships and services and ensure all card transactions are accurately reported. 




  • Ensure all operating policies are adhered to whilst in the gyms - being responsible for the opening and closing procedures and ensuring all equipment and the building operates within Health & Safety guidelines as required. 




  • To develop positive working relationships with the health and fitness coaches, King’s Sport & Wellness staff, and other student service providers within the University to enhance students’ experience

King's Clinical Academic Training Office (KCATO) is looking for a flexible, proactive and organised individual who can help us temporarily as our team gets to grips with some new work. The role is based at Guy's campus with work across all campuses as need arises, and includes attending in person meetings and events.

 

Events & Meetings (approximately one or two per month)

Manage attendee bookings, dealing with enquiries

Manage room, AV and catering bookings

Manage some communications, such as creating blurbs for events

Handle feedback and report on attendance data
