Events Manager

Job Description

We are looking to hire an Events Manager to deliver a range of events throughout the academic year 2023/24. This will include book launches, Education & Society Dialogues, and other panel discussion events.



You will be responsible for the logistics and general management of the events, which will require liaising with various teams from across King’s (eg catering, AV, venues), with the aim of ensuring a smooth event attendee experience. You will also work closely with the School Communications Officer to maximise event attendance.



Responsibilities: 




  • Liaising with King’s Venues to secure spaces and reviewing the booking contracts. 

  • Liaising with King’s AV for audio and video requirements. 

  • Agreeing and ordering catering through King’s Venues. 

  • Drafting the website and Eventbrite listing. 

  • Hiring and briefing student ambassadors. 

  • Creating slidedecks for use at the event.

  • Preparing sign-in sheets, and liaising with King’s Security team with regard to registration list. 

  • Emailing attendees the details of the event and an evaluation form post-event, and analysing the results. 

  • Attending the event, briefing speakers, liaising with catering and AV. 

  • Carrying out risk assessments.

Skills

Ideally you will be a confident self-starter, able to work independently and to effectively liaise with other departments. You will also need to be comfortable working with senior managers.




  • Significant experience of events planning and administration (must have organised three events or more).

  • Excellent written and verbal communication skills.

  • Excellent attention to detail with the proven ability to work with a high degree of accuracy.

  • Proven time management and organisational skills.

  • A proven ability to use initiative and work well under pressure.

Job Description:



We’re looking to recruit King’s Student Ambassadors to play a vital role in the delivery of events during the Lau China Institute’s flagship events programme, China Week, taking place from 16-20 October.



With the support of the Impact and Engagement Team at the Lau China Institute, you will assist in the day to day running of events.



Key responsibilities could include:




  • Assist with pre-event set up (pull up banners, programmes on seats/in bags)

  • Welcoming and registering guests on arrival

  • Directing guests to relevant rooms

  • Cloakroom assistants

  • Assisting with speaker/guest needs during events

  • Assist with audience Q&A e attendees, delegates, and speakers with a warm and friendly     demeanor, providing information and directions.

  • Photographing events with staff and students

  • Assist with setting up and managing Zoom webinars

  • Ad hoc support as required



Qualifications

This post is open to King's Student Ambassadors.



Skills

About you:




  • Student Ambassadors must have the right to work in the UK and be able to commit to 3 hours minimum

  • Experience assisting with the running of public events or similar (desirable)

  • Excellent communication and interpersonal skills.

  • Proficiency in using Zoom

  • Reliable, punctual, and ability to work well as part of a team.

Event ambassador for the Annual Reese Lecture at the Menzies Australia Institute on 'Negotiating a warming world: Australia, the Pacific and climate change since the 1980s'. 



Timings: 6-8pm



Tasks include:

- On the day of the event, helping at the registration desk to check-in attendees

- Helping with roving mics for the Q&A session



Qualifications

Must have completed Right to Work check. 



Skills

Prior event experience is preferred. 



Communication skills.

Event ambassador for the Department of International Development's seminar series book talk on ' 'She Who Struggles' – Revolutionary women who shaped the world'.



Tasks include:

- On the day of the event, helping at the registration desk to check-in attendees

- Helping with roving mics for the Q&A session

- Must have completed Right to Work check.
